Behind the Scenes with Aimee Shaw: Streamlining Success at John Black Solicitors
Meet Aimee Shaw, the powerhouse behind our operations at John Black Solicitors.
Having evolved from a billing assistant to a vital figure in the administrative and operational backbone of the firm, Aimee’s hands-on experience, efficiency-driven mindset, and collaborative leadership style are helping shape a smoother, smarter, and more supportive workplace for both staff and clients.
From Billing Assistant to Operational Backbone
Aimee’s journey began with billing for magistrates’ court and police station files, giving her a unique insight into the behind-the-scenes workings of the legal world. This initial exposure quickly evolved into assisting with magistrates’ administration, where she learned the importance of case setup and documentation.
“Being hands-on with both case preparation and financial processes has taught me the importance of precision, time management, and clear communication,” Aimee shares.”
She later supported Crown Court case preparation, further sharpening her skills in communication, attention to detail, and time-sensitive project management.
This comprehensive understanding of the firm’s inner workings allows her to bridge departments and support team members effectively, something she now does daily.
Aimee’s Role: Keeping the Engine Running
“My priority is always making sure everyone has what they need to do their job efficiently, whether that’s a new process, an upgraded resource, or just a helping hand”
At the heart of her current role is one simple mission: to ensure the firm runs smoothly and efficiently. From streamlining admin processes to providing hands-on support, Aimee ensures every department has the right tools and resources at their fingertips.
Her approach is both proactive and people-centred, ensuring systems support, not hinder productivity.
Supporting People and Processes
“I see my role as creating the kind of environment where people feel supported and able to do their best work.”
Whether she’s liaising with legal staff, managing operational logistics, or stepping in on billing tasks, Aimee views her role as one of facilitation and empowerment.
Her dual involvement in billing and operations gives her a unique vantage point, allowing her to spot inefficiencies, resolve overlaps, and improve workflow cohesion across the board.
Innovation in Action: Smarter Systems for a Smarter Firm
Aimee recently introduced a new organisational system tailored for paralegals and admin staff, designed to ensure collaborative task-sharing without losing sight of individual responsibilities.
“I like to check in regularly, both formally and informally, so that nothing falls through the cracks and people feel looked after”
“I’d like to ensure work goes to the right person first time. That alone will cut delays, reduce confusion, and help cases move faster through the system.”
“It’s been a real success. Tasks are now completed more efficiently, with fewer delays and missed steps.”
She’s passionate about implementing tech tools and processes that enhance clarity and reduce time spent on repetitive admin, freeing up more time for client care and legal excellence.
Goals for Greater Efficiency
Aimee’s next objective? Reduce the “bounce effect”, where admin tasks get passed around departments unnecessarily.
Leadership with Heart and Clarity
Aimee describes her leadership style as supportive, proactive, and collaborative. By leading by example and staying approachable, she creates a space where colleagues feel empowered to ask questions and share ideas.
Life Outside of Law: Sun, Food, and Adventure
When she’s not optimising legal workflows, Aimee is out exploring the world, literally. From sun-soaked beaches in Southeast Asia to European city breaks, she finds joy in new experiences, cultures, and cuisines.
Closer to home, you’ll find her walking Manchester’s scenic trails, trying out new foodie hotspots, or enjoying summer activities around the city.
